Choosing accounting software South Africa businesses can actually live with is not a features comparison, because every package on the shortlist will post a journal and print a trial balance. The differences that matter here are local: how the package handles VAT, whether payroll fits, whether the bank feeds work with your bank, and what happens when you add a second entity. Those four questions decide the outcome far more often than the dashboard does.

Start with what the software must do in South Africa

  1. 1VAT that survives scrutiny. Correct tax types, the ability to handle zero-rated and exempt supplies, and a VAT report that ties to the control account for each VAT201 return.
  2. 2Payroll that produces SA statutory output. PAYE, UIF, SDL, ETI and IRP5 certificates, either natively or through an integration.
  3. 3Bank feeds with your actual bank. Feed coverage differs by bank and by package, and a broken feed quietly doubles your bookkeeping time.

  5. 5Multi-entity handling if you have, or will have, more than one company.

Sage: the incumbent, in more than one form

Sage is not one product in South Africa. Sage Business Cloud Accounting is the cloud offering aimed at small businesses. Sage Pastel Partner remains widely installed as a desktop package with deep local familiarity, and there is a very large pool of South African bookkeepers who already know it. Sage 200 Evolution sits above both.

Strengths: local VAT handling is mature, integration with Sage payroll products is straightforward, and finding staff who know it is easy. Considerations: the desktop products tie you to a machine or a hosted server, and the product family is broad enough that you must be precise about which product a quote refers to.

Xero and QuickBooks Online: the cloud challengers

Both are cloud-native, both are strong on bank feeds and reconciliation workflow, and both have large third party app ecosystems for invoicing, expenses, document capture and stock. For an owner who wants to see the numbers on a phone and give an accountant access without sending a backup file, this is the category that fits.

Strengths: clean bank reconciliation, multi-user access with proper permissions, and simple integration with document capture tools that cut data entry substantially. Considerations: South African payroll is typically handled by an integrated local payroll product rather than inside the ledger, inventory functionality is basic compared with a mid-market package, and you should confirm feed coverage with your specific bank before committing.

Sage 200 Evolution: when a small package stops coping

Evolution is a mid-market package with a SQL back end. The reasons businesses move to it are consistent: multi-warehouse inventory, serial and batch tracking, manufacturing or bill of materials requirements, multi-company reporting, and a transaction volume that makes a small package slow. It also supports tighter user permissions, which matters once the finance team is more than two people.

Considerations: it is an implementation, not a sign-up. Budget for a partner to configure it, for data migration and for training, and expect the total cost of ownership to be a different order of magnitude from a small cloud subscription.

Migration: what actually goes wrong

Software migrations rarely fail on the software. They fail on data. The recurring problems are the same across every package: opening balances that were never reconciled in the old system, a chart of accounts copied across unchanged when it should have been redesigned, VAT history that cannot be reproduced if SARS asks, and inventory quantities that nobody counted before cut-over.

  • Reconcile before you migrate. Never carry an unexplained balance into a new system, because it becomes permanent.
  • Redesign the chart of accounts while you have the chance, rather than importing an old one you dislike.
  • Keep the old system readable for the retention period, because you may need the detail behind a prior return.
  • Run one month in parallel and reconcile both to the bank before you switch off the old system.
  • Rebuild the month-end routine in the new tool using the month end close checklist.

A new package will not fix a process problem. If the close is late today, it will be late in the new system too, just with a nicer dashboard on top of it.
